Refund & Cancellation Policy
How billing, cancellations, and refunds work for Vortex Voice AI subscriptions and usage.

This Refund & Cancellation Policy describes how EactiveNet, Inc. handles cancellations, refunds, and disputes for the Vortex Voice AI Services. It supplements and is incorporated into the Terms of Service. Capitalized terms have the meanings given there.
1. Subscription Billing
Paid plans are billed in advance on a recurring basis (monthly or as stated in your Order). Telephony and AI usage above plan allowances, and any prepaid credits, may be billed on a usage basis. Subscriptions renew automatically at the then-current rate unless cancelled before the end of the current billing cycle.
2. Cancellation
- You may cancel your subscription at any time from your account settings or by contacting [email protected].
- Cancellation stops future renewals. Your plan remains active until the end of the current paid billing period, after which paid features are disabled.
- You are responsible for de-provisioning or porting out any telephone numbers before cancellation if you wish to retain them; numbers not ported may be released.
3. Refund Eligibility
Except where required by applicable law, subscription fees are non-refundable, and we do not provide refunds or credits for partial billing periods, unused time, or unused allowances. We may, at our sole discretion, issue a refund or credit in the following circumstances:
- Billing error — you were charged incorrectly or charged after a valid, timely cancellation;
- Duplicate charge — you were charged more than once for the same period; or
- Extended outage — a verified, prolonged failure of the Services materially attributable to us.
4. Usage Charges and Credits
Charges for consumed telephony minutes, messages, number rentals, carrier surcharges, taxes, and AI usage reflect services already rendered and are non-refundable. Promotional or courtesy credits hold no cash value, are non-transferable, and are not redeemable for cash.
5. Free Tier and Trials
Free or trial access is provided without charge and without a refund obligation. If a trial converts to a paid plan, standard billing and this Policy apply from the conversion date.
6. How to Request a Refund
To request a refund or report a billing concern, email [email protected] within thirty (30) days of the charge, including your account email, the invoice or transaction reference, and a description of the issue. We aim to review eligible requests within a reasonable time and to process approved refunds to the original payment method.
7. Chargebacks
If you believe a charge is incorrect, please contact us first so we can resolve it promptly. Initiating a chargeback or payment dispute without first contacting us may result in suspension of the Account pending resolution. We reserve the right to contest chargebacks we believe are invalid.
8. Changes to this Policy
We may update this Policy from time to time and will post the revised version with an updated effective date.
